JOB DETAIL
Administrative Tasks
- Booking flight tickets, hotels, restaurants, and golf courses.
- Managing vehicle bookings, driver schedules, and arranging car-related conveniences such as Easy-Pass.
- Procuring and maintaining office supplies, managing office stock (e.g., stationery, office furniture, general supplies, phones, SIM cards, and medical supplies).
- Sending emails and summarizing lunch meetings for employees (in English).
- Preparing birthday cards and gifts for employees and their families.
- Coordinating with external service providers (e.g., air conditioning technicians, contractors, hotels, outsourcing services) and supervising their work as required.
- Overseeing office cleanliness, supervising cleaning staff, and coordinating with the building management on various issues.
- Supporting foreign employees with various matters.
- Other tasks as assigned by supervisors, such as translating documents, assisting with company events, and rearranging office layouts.
- Handling administrative documents, including recording purchases/bookings, managing contracts, and other related tasks.
General Tasks
- Participating in ISO 9001 activities and other events organized by the company.
REQUIRED WORK EXPERIENCE
- Proficient in Japanese, able to communicate with Japanese staff and write emails effectively (JLPT N3).
- Proficient in English, able to communicate and write emails effectively.
- Skilled in basic computer programs.
- Excellent interpersonal skills, able to communicate with diverse individuals and summarize information clearly for team members.
- Observant and capable of solving basic problems on the spot.
- Able to multitask and prioritize tasks effectively.
- Service-oriented with a supportive mindset and a friendly attitude.
- Creative in providing suggestions to improve the office environment.
