JOB DETAIL
As a Personal Assistant, your primary responsibility is to provide comprehensive support to an individual, typically a high-level executive or professional, to enhance their productivity, efficiency, and overall well-being. This role requires a combination of organizational, communication, and interpersonal skills, as well as a high level of discretion and confidentiality.
Key Responsibilities:
Calendar Management:
• Efficiently manage and organize the executive's schedule, including meetings, appointments, and travel arrangements.
• Coordinate and prioritize appointments, ensuring optimal use of time and minimizing conflicts.
Communication Management:
• Act as the primary point of contact between the executive and internal/external stakeholders.
• Draft, proofread, and edit emails, letters, and other correspondence on behalf of the executive.
Travel Coordination:
• Arrange and coordinate travel itineraries, accommodations, and transportation.
• Provide detailed travel plans, including relevant documents and contacts.
Meeting Coordination:
• Plan, organize, and coordinate meetings, conferences, and events.
• Prepare meeting agendas, take minutes, and follow up on action items.
Information Management:
• Maintain an organized system for filing and retrieving documents, both in physical and digital formats.
• Research and compile information as needed for reports, presentations, or other projects.
Task Prioritization:
• Assist in prioritizing tasks and projects, ensuring deadlines are met.
• Anticipate needs and proactively address issues to streamline workflow.
• Confidentiality and Discretion:
• Handle sensitive information with the utmost confidentiality and discretion.
• Demonstrate a high level of professionalism in all interactions.
Administrative Support:
• Perform general administrative tasks, such as managing expenses, handling phone calls, and maintaining office supplies.
Problem-Solving:
• Identify challenges and propose solutions to enhance efficiency and effectiveness.
• Anticipate potential issues and take preemptive action.
• Adaptability:
• Be flexible and adapt to the changing needs of the executive and the organization.
• Handle unexpected tasks and challenges with a positive and proactive attitude.
REQUIRED WORK EXPERIENCE
• Female only
• Bachelor's degree or equivalent experience.
• Proven experience as a personal or executive assistant at least 5 years
• Excellent organizational and time-management skills.
• Proficient in office software and communication tools.
• Ability to work independently and make decisions in the best interest of the executive.
• Proficiency in English both written and verbal communication.
