JOB DETAIL

● Calendar Management
1.Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
2.Prioritize and adjust scheduling based on urgency, availability, and importance.
● Communication Support
1.Act as the primary point of contact between the CEO and internal/external stakeholders.
2.Manage and screen emails, phone calls, and other communication channels, ensuring timely and professional responses.
3.Prepare and edit correspondence, reports, and presentations for the CEO.
● Travel Coordination
1.Plan and coordinate complex domestic and international travel, including flights, accommodations, itineraries, and logistics.
2.Ensure all travel arrangements align with the CEO's preferences and requirements.
● Meeting & Event Coordination
1.Organize and coordinate meetings, conferences, and events for the CEO, both internally and externally.
2.Prepare meeting materials, agendas, and necessary documents in advance.
● Confidentiality & Discretion
1.Handle sensitive and confidential information with the utmost discretion.
2.Manage confidential projects and tasks as assigned by the CEO.
● Task & Project Management
1.Support the CEO in project management and the execution of key business initiatives.
2.Monitor deadlines, track progress, and ensure timely completion of assignments.
● Office Management & Supplies
1.Oversee office supplies and equipment, ensuring the CEO’s workspace is organized and efficient.
2.Assist with day-to-day office operations as needed.
● Liaison & Relationship Management
1.Build and maintain strong relationships with key internal and external stakeholders on behalf of the CEO.
2.Represent the CEO's interests and act as a liaison when necessary.

REQUIRED WORK EXPERIENCE

1.Bachelor’s degree in business administration, Communications, or a related field is preferred.
2.Proven 2 years of experience as Executive Assistant, or in a similar administrative role supporting C-level executives.
3.Experience managing complex schedules, travel arrangements, and confidential information.
4.Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
5.Excellent verbal and written communication skills in English; proficiency in Chinese is a plus.
6.Proficiency in office productivity tools, such as Microsoft Office Suite and Google Workspace.
7.Strong problem-solving skills and keen attention to detail.
8.A high level of professionalism, discretion, and confidentiality.
9.Proactive, resourceful, and able to approach tasks with a "can-do" attitude.
10.Ability to work effectively under pressure in a fast-paced environment.
11.Strong interpersonal skills, with the ability to build and maintain positive relationships.
12.Flexibility to occasionally work outside regular hours, depending on the CEO’s schedule.
13.Willingness to travel when necessary.
