Executing construction in a marine area.
Currently, expanding the business in Thailand rapidly.

【Job Description】
Basic Function
The Administrative performs office tasks associated with logistical (personnel) and administrative support for the Administrator, Accountant and Management.

a) Assist the Operations Administrator as needed.
b) Liaise with other Regional Business Units (RBU) for travel and accommodation requirements for senior management.
c) Apply/Obtain all necessary Visas for staff personnel as necessary.
d) Tracking senior management personnel movements. Fight reservation or vacation schedules.
e) Assisting in Purchase order and invoicing for office. Monthly Sales report to Japan HQ Sales and other management staff.
f) Arrange flights for senior management personnel.
g) Liaise with logistics (equipment) coordinator related to general operations whenever necessary.
h) Out of Office hours support whenever required.
i) Application of Foreign worker employment passes. Make sure passes are valid within the employment period.
j) Processing of quotations from Suppliers.
Financial
a) Checking travel, hotel agency and suppliers’ invoices.
b) Arranging Purchase Orders for all hotels, and travel & transportation.
c) Issue Purchase Orders for approved supplier quotations on behalf of management.
d) Prepare payment by bank transfers and cheque
e) Prepare and issue withholding tax certificates and arrange to deliver them to suppliers
f) Collect cheques from clients and deposit them to banks
g) Prepare tax invoices to clients and arrange to deliver them to suppliers

Administration
a) Update/Maintain Executive Admin. records.
b) Collect and check all staffs work records and prepare monthly summary report
c) Prepare contracts with freelance divers & technicians
d) Apply/Obtain/Renew all necessary Visas and work permits for staff personnel as necessary.
e) Tracking management personnel movements. Flight reservation or vacation schedules.
f) Liaise with other Regional Business Units (RBU) for travel and accommodation requirements for management.
g) Process quotations from Suppliers.
h) Assisting in Purchase order and invoicing for office.

Principal Working Relationships
a) Work with Managing Director and Senior Managers to effectively administer office operations.
b) Process approval for supplier invoices.

Specific Additional Duties
a) Actively participate in adherence to and improvement of the Company’s Business Management System on QHSE related issues.
b) Be responsible for any other such tasks and duties as shall be assigned from time to time.
c) Answer incoming phone calls, taking messages, etc.
d) Dispatch outbound documents, preparing airway bill and proforma invoices.
e) Reception work, receiving, recording and distributing invoices for senior management.
f) Liaise with BOI related to BOI license and work permits whenever necessary.

REQUIRED WORK EXPERIENCE

- Minimum 5 years’ experience in industry.
- Bachelor's degree in any related field
- Able to speak in Japanese at intermediate level
- Age between 30-40 years old
- Conversant with standard Microsoft business software.
- Intermediate English language or above.
- Having admin manager experience for 2-3 years
- Adjustable to international work environment
- Having interest in marine construction field
